YOUR PLANNING MEETING

Planning your wedding is very exciting, but we also know it can feel a bit daunting at times! We want to reassure you that we are here to help.

Our experienced events management team will guide and support you through the entire process, from the day you book with us until the final moments of your wedding day. 

You will be invited to The Barns at Delbury Hall for your Planning Meeting around four months before your wedding. At the meeting we will discuss all of the details of your big day and run through your timetable in detail, so that we know exactly how you’d like the day to run. We’ll ask lots of questions so that we can understand what matters most to you as a couple, so that you can relax and enjoy every minute of your wedding whilst we ensure that everything goes according to plan!

What to expect

We would love to see you in person but please don’t worry if this proves difficult as we can also host these meetings remotely via Teams or Zoom for couples who live further afield.

During your Planning Meeting we’ll you to confirm your daytime and evening guest numbers, and we’ll also check with you who your chosen key players will be on the day.

For example, perhaps you have a particular person in mind to be in charge of your flower girls and page boys or announce you into the Orangery as a newly married couple!

Talking through these sorts of details means we can put an in-depth plan together well in advance that we’ll share with you on your online portal. You can then share that timetable with any suppliers who will find it useful, such as your photographer. Don’t worry if these need to be tweaked last minute, we can easily do so!

Wedding Day Timings

During the Wedding Planning Meeting, we will confirm timings and how the full day will run. The starting point for this is your booked ceremony time. We’ll work around this and confirm timings of things like:

    • Any live music

    • Any playlists

    • Confetti shots

    • Reception

    • Wedding Breakfast

    • Cake-cutting

    • First dance

    • Number & timing of speeches

Wedding Suppliers

Your suppliers are one of the most important aspects of your wedding day, and the further in advance you book with them, the better, as they can get booked up quickly! It helps us if you can upload onto your online portal the names of all of your suppliers, just in case we need to directly communicate with them. Suppliers might include:

  • Photographers

  • Live music /DJs

  • Stylists & venue dressers

  • Florists

  • Wedding stationary

  • Wedding cakes

Personal Touches

We are always excited to hear your creative ideas for dressing the venue. It’s great to discuss this early on to ensure it is feasible and fits in with timings. As the barns are already so effortlessly beautiful, even the simplest personal touches prove effective.

You’re more than welcome to go all out dressing the venue, if you wish, however please be aware that you will need an independent venue dresser or friends and family to help, as your Event Manager will only have limited time to work their magic on the morning of your wedding.

Music

Your choice of music is such a special aspect of your day; it represents both of you individually, and as a couple.

Many couples will choose a song for entering the ceremony and a song to leave, along with a playlist of background music for the Reception Drinks afterwards. We can play music through our speaker system in the Courtyard, Foxglove Garden or in the Coach House.

We also love to see couples welcomed into the ceremony to live music. Please have a look at our Recommended Suppliers page for inspiration!

An efficient way of supplying us with your chosen music is by creating a public playlist on Spotify and sharing this with us. Please note that we require your music and playlists at least one week before your wedding day.
